Privacy Policy

1. Who we are

SavanHR is operated by Savan Soft Co., Ltd, Xangkhoo Village, Xaithany District, Vientiane Capital, Laos PDR.

The company you work for (your employer) registers you in the system and decides what information is recorded. We process that information on your employer's behalf and according to their settings.

2. Information we collect

• Account: name, username or email, phone number and password (stored as a one-way hash)
• Employment records entered by your employer: position, department, branch, salary, bank account, tax and social security numbers, leave, payslips
• Attendance: clock-in and clock-out times, GPS location at the moment you clock, a selfie photo (if your company requires it), the QR station scanned, and a device identifier used to bind your account to your phone
• Files you upload: profile photo, expense receipts, leave documents
• Notifications: your device's push notification token
• Technical data: IP address, browser type, access times and a change history, for security
• Anonymous page-view statistics (Vercel Analytics) — no cookies and no advertising use

3. Location and camera

• The app requests your location only when you open the attendance screen or tap clock in/out, to check that you are within your branch's area. There is no background location tracking.
• The camera is used only when you take an attendance photo, scan a QR code or photograph a receipt.
• You can deny these permissions at any time in your phone settings, but clocking in may then be unavailable depending on your company's policy.

4. How we use information

• To provide HR services to your employer: attendance, leave, payroll, expense claims and reports
• To send notifications about your work, such as a leave approval
• To keep accounts secure, prevent buddy punching, and resolve issues when you ask for help
• To comply with the law

We do not sell your information, do not show ads, and do not use your information for advertising.

5. Sharing

• Authorised staff of your employer, according to their role (for example HR or your supervisor)
• Service providers needed to run the system: cloud hosting and database, email delivery and push notifications (for example Google) — only to provide the service
• Government authorities when required by law

6. Storage, security and retention

Data is encrypted in transit (HTTPS), access is limited by role, and changes are logged. Servers may be located outside your country.

We keep data for as long as your employer uses SavanHR. After an account is closed, its data is deleted within 90 days, except records your employer must keep under labour, tax and social security law (such as payroll history), which are kept for the period the law requires.

7. Your rights

You may ask to access, correct or delete your information. Please contact your company's HR team first, or email us at info@savansoft.com. See the “Account and data deletion” page for how to request deletion.

8. Children

SavanHR is a workplace system for an organisation's employees and is not directed at children.

9. Changes to this policy

If this policy changes, we update the date at the top of this page and announce significant changes in the app.
